10 Things You Need to Know to Avoid Getting Burned on Returns

Although every major retailer has a different policy for returns, refunds, and exchanges, there are some general rules to remember no matter where you shop.

Save your receipts.

Most stores require a physical receipt or shipping invoice for a refund. Without one, you may only be eligible for store credit or the return might not be accepted at all (although there is sometimes wiggle room in seemingly strict policies). The good news is that many retailers, including Home Depot, Kohl's, Lowe's, and Target can retrieve past transactions without a receipt if you present the credit card used for the original purchase; sometimes just a phone number will do.

Don't expect a cash refund.

Unless you paid for the item in cash, you generally will not receive cash back. Retailers almost always issue refunds in the same form as the initial payment. The amount paid for items purchased with a MasterCard, Visa, or other credit card will be credited to your account; if you paid with a gift card (or don't want a cash or credit refund), you'll receive a new gift card. An exception to the rule is Walmart, where customers returning items in store can get cash back for purchases under $25, no matter how the item was initially purchased and even without a receipt, no questions asked.

Always give a gift receipt with a gift.

Along with the regular receipt, many vendors offer a gift receipt that doesn't reveal the price you paid but does serve as proof of purchase. Be sure to include a gift receipt with every present you give, no matter what time of year. Many stores will accept a gift return even without a receipt, but the recipient isn't always guaranteed the full purchase amount. Some stores offer only the current selling price, which may be lower; at JCPenney, you get the lowest price from the past 45 days. Returned gifts almost always qualify for store credit rather than a cash refund, and normal return-shipping policies apply.

Save the packaging and tags, especially for electronics and clothing.

Even stores known for relatively forgiving return policies require shoppers to return items intact and with the original packaging. That includes cables, instruction manuals, warranty cards, remote controls, batteries, and anything else that came with the product. Don't forget the box, too (and make sure it's also in good condition). Amazon, for example, penalizes shoppers up to 100% of the purchase price if they return an item with missing parts or send back DVDs, CDs, and other media that have been opened.

With clothing, no matter the retailer, it's a good idea not to remove any tags or labels, as most stores have fairly strict rules regarding wearing, washing, or altering clothing items in any way before returning them. A few stores, notably L.L.Bean, actually encourage shoppers to return clothing they've worn if they're unsatisfied with it. L.L.Bean garments that show any signs of defect in materials or workmanship can be taken back to be considered for an exchange or refund at any time, even if you've been wearing them for more than a year.

Some things can't be returned.

If it can be downloaded, it probably can't be returned for a refund or exchange. Software, games, movies, and e-books are so easily copied that these items are generally ineligible for return unless unopened or proven to be defective. Even if the return is accepted, you'll likely only receive store credit. Gift cards, personalized items, hazardous materials and firearms, grocery items, some health- and personal-care products, undergarments, clearance merchandise, and the like almost never are accepted for return.

You may have to pay for return postage.

The biggest retailers — including Amazon, Target, and Walmart — offer free return shipping on most items sold online. But other big names, including JCPenney, Cabela's, and Barnes & Noble, make you pay the cost of sending an item back unless it arrived damaged or otherwise defective. An alternative is to return the item at a bricks-and-mortar store; most retailers offer free in-store returns, refunds, and exchanges of items purchased on their websites. Amazon has storefront distribution centers, return lockers, and partnerships with Whole Foods and Kohl's that allow online shoppers to avoid the potential cost, and hassle, of return shipping.

There may be restocking fees.

This is particularly common with big-ticket items such as appliances and electronics. Best Buy charges 15% of the purchase price on items from DSLR and mirrorless cameras to drones. It also charges a $45 fee on returned cell phones that have been opened. Products ordered on Amazon through third-party sellers may be subject to a restocking fee if returned. (Note, however, that some states prohibit retailers from charging restocking fees.)

Retailers don't have to accept returns.

Look closely at the fine print of any store's policy on refunds, returns, and exchanges, and you're likely to see a clause that gives merchants the right of refusal — even retailers with famously generous policies like Costco. But unless you're trying to get a refund on a shirt that's been forgotten in the back of your closet for over a year, or attempting to exchange a pair of shoes that have clearly been around the block more than a few times, it's rare that a retailer won't offer at least partial store credit.

Don't get flagged as a 'serial returner.'

In the past several years, a number of major retailers — among them Best Buy, Lowe's, Home Depot, and Victoria's Secret — have begun tracking customer returns using driver's licenses. The idea, retailers say, is to prevent widespread return fraud and guard against a small segment of "serial returners" who habitually buy something, use it a few times, then return it for a refund. Even Amazon monitors shoppers and has banned some for making too many returns. This is a controversial practice, and more than a few unhappy consumers say they've been barred without explanation.

Many stores have special holiday return policies.

Some retailers relax their return and exchange policies for purchases made during November and December, making it easier to take back unwanted gifts. Amazon, Sears, and Gap (which means Old Navy and Banana Republic, too) all extend their standard return windows until mid- to late January. Other retailers allow their rewards club members an even longer period for returns. Best Buy Elite Plus members, for example, have an extra month beyond the deadline for regular customers.
